Shop books

Pool business management software for the shop

Quotes, invoices, and payroll sit next to the route — not in a second app. 6 months free, then $10 / month for pool companies. If Shop lapses, the books stay on file so you can still look and export.

Quotes and invoices

Customer quotes start from a customer file. Vendor quotes — what a distributor quoted you — live under Vendor quotes. Customer invoices are on the customer. Vendor bills from SCP, Heritage, and the rest are a separate desk, so a distributor invoice does not get mixed into what you bill the homeowner.

Print or export the quote. Bill extras from the route when the tech adds them on the stop. A large line list is fine. The last stop of the day can write the invoice so it does not wait on a stack of tickets.

Getting paid

Record card, check, cash, Cash App, Venmo, ACH, or Zelle on the invoice. Cash App and Venmo use the name you save. When the money shows up, mark it received so it hits the books. Unpaid invoices stay off the books.

A homeowner can pay from a link you send. Their card is entered in Stripe’s form. Dealers who collect that way connect Stripe with Stripe’s own link — never by pasting secret keys into SwimPro. SwimPro’s own Shop subscription uses that same Stripe form.

QuickBooks, time clock, payroll

Invoices export a QuickBooks-ready CSV. This is a file you download, not a live two-way sync. Going the other direction, a QuickBooks customer contact list (Excel) can be dropped on Switch with the rest of a book.

The time clock records crew hours. Over 40 in a week is time-and-a-half. Tax is the percent you set on the report — SwimPro does not file a return. Download the payroll CSV for that date range. Hours show up after the crew clocks in.

What stays in the shop

Customers, invoices, quotes, and books remain on file when a subscription ends. You can read and export them. Adding and editing needs an active Shop plan. The feed does not go away if Shop lapses.

Routes, LSI, and inventory are the pool service software. Hiring, the feed, and live trainings are the pool professional network.
